$18+/hour — Depending Upon Experience

QUALIFICATIONS:

Candidate must demonstrate a full range of office support including computer skills and  using related software for word processing, spreadsheet presentation, data base and spreadsheet applications; as well as use of electronic networks, such as internet, composing, proofreading, and editing written communications; gathering, synthesizing and reporting information, responding to written and oral inquiries, performing numerical calculations.

ADDITIONAL DESIRABLE QUALIFICATIONS:

·       Good oral and written communications skills.

·       Work well under pressure and meets deadlines

JOB DESCRIPTION

POSITION/TITLE: Team Assistant (Secretary)

PROGRAM AREA: Center for Field Operations

CLASSIFICATION: Associate Member Services

*SUPERVISOR/MANAGER: Associate Executive Director

*All staff work under the direction of the Executive Director and/or designee.

  1. Provide secretarial support (typing, filing, correspondence, telephone calls, routine information requests)  for assigned staff.
  2. Maintain and regularly update appropriate mailing lists used by the staff.
  3. Distribute through appropriate Association channels (direct mail, member/leader mail system, staff mail, inter-office network, etc.) notices and general correspondence for assigned staff.
  4. Maintain appropriate staff calendars and appointment schedules, etc., for assigned staff.
  5. Operate personal computer, copier, collator, calculator and other related machines and equipment necessary for smooth, efficient performance to accomplish Association goals and objectives.
  6. Prepare for meetings, training sessions and conferences by collecting the necessary reports, special data and information as needed.
  7. Provide information to staff regarding procedures and established policies, transmit administrative decisions. Open, sort and read incoming correspondence, answer routine and non-routine letters, and distribute appropriate materials if authorized by the supervisor or professional staff.
  8. Proof and screen all outgoing letters, reports and documents.
  9. Serve as liaison with other staff teams.
  10. Process membership for locals as assigned.
  11. Order supplies for the assigned staff.
  12. Maintain knowledge of Association goals and objectives.
  13. Work cooperatively as a member of the assigned Center or Team and all staff to accomplish the goals and objectives of the Association.
  14. Perform other duties as assigned.
